Dear Colleagues,
The university asks employees to take a few minutes each year to review and update important personal and contact information in the Georgetown Management System (GMS).
Personal Information and Invitation to Self-Identify
We invite you to review and update your personal information in GMS to help the University fulfill its mission and commitment to achieving a diverse and inclusive workplace. Please use the following links to provide information in all four sections by Monday, November 18, 2024:
Submission of this information is voluntary and there will be no negative consequences should you choose not to provide the information. All information provided will be kept confidential and will only be used in a manner consistent with applicable law. For more information, see the IDEAA “Self-Identification of Demographic Information” page.
Key Tax & Contact Information
To ensure the accuracy of your W-2 and to improve university communication with employees, please review and update your information.
- Legal Name: The name and Social Security Number (SSN) displayed on your last paycheck and in GMS should match the information displayed on your Social Security Card.
- W-2 Paper Copy Opt-Out: If you wish to receive all future W-2 statements from Georgetown University electronically, you must provide your consent. To make a change, click “Edit” under “Printing Election.”
- Home Address: W-2s for the majority of employees will be sent to the Home (Primary) address on file in GMS. The assignment of a usage tag such as Payroll Tax Form, Payroll Form and/or Mailing may deliver your W-2 to an address that is different from your Home (Primary) Address.
- Emergency Contact Information: Please ensure your emergency contact information is up to date. Ensure that your home and work phone/cell numbers are up-to-date for emergency notification purposes.
- State Taxes: Please also confirm the appropriate state taxes are being withheld from each check. If you find taxes for the incorrect state have been withheld, please reach out to Payroll Services right away. You can view your state tax withholding in the Benefits and Pay Hub in GMS.
Emergency Notifications
Confirm or update your HOYAlert contact information in Rave. All current students, faculty and staff are automatically enrolled to receive email and text messages from HOYAlert, Georgetown’s mass notification system used in the event of an emergency situation or incident on campus.
You do not need to opt in for HOYAlerts for your primary campus; however, if you would like to opt in to receive HOYAlerts for additional locations (e.g., opt in for the Capitol Campus if you are based on the Hilltop Campus) you can do so in GU360.
In-Person Office Location
For hybrid/in-person workers only: please review and update your on-campus work location in GMS. This data is used to send messages to occupants of your building, and it is important that you double-check to make sure it is up-to-date. You can find instructions in this job aid.
Thank you in advance for your time reviewing this important information.
Sincerely,
